Processing activities
As the data controller under GDPR, we carry out the following processing activities, which we track in our GDPR software.

In this context, we will process your personal data to engage in a dialogue with you—for example, to answer questions about our services. We only process the information you provide to us in connection with our communication.
We will typically process the following standard information: name, email address, and telephone number.

The legal basis for processing this personal data is Article 6(1)(f) of the General Data Protection Regulation (GDPR).

We delete our communication with you once it is clear whether or not you wish to use our services.

In specific cases, however, it may be necessary to retain your personal data for a longer period.

Customers
We need to communicate with our customers to ensure that the service is delivered correctly. In doing so, we may process information such as names, addresses, services, special agreements, payment details, and the like.

The legal basis for processing this personal data is Article 6(1)(b) of the General Data Protection Regulation (GDPR).

Once the service has been delivered and any outstanding matters have been concluded, we will delete the personal data immediately thereafter.

Newsletter
We offer an optional newsletter subscription, and you can unsubscribe at any time.

The purpose of the newsletter is to send subscribers emails containing new information from the company, such as updates on website content or announcements regarding our services.

We will only send you emails if you have given your active consent. This process begins with you providing your email address; we then send you an email so that you can confirm your subscription. This ensures that you have personally signed up for the newsletter—meaning you have provided active consent.

Our legal basis for processing your personal data (i.e., your email address) in connection with the newsletter is Article 6(1)(a) of the General Data Protection Regulation (GDPR).

We will process your personal data for as long as you remain subscribed to the newsletter. If you unsubscribe, we will stop sending it to you. If we have not sent you a newsletter for one year, your consent will lapse due to our inactivity.

If you unsubscribe from the newsletter, we will retain a record of your (now former) consent for two years after it was last used, in order to address potential statute-of-limitation claims, in accordance with Section 11.3 of the Consumer Ombudsman’s guidelines on spam.

Bookkeeping
We are required to retain all accounting records in accordance with the Bookkeeping Act. This means we store invoices and similar documents for accounting purposes. These documents may contain ordinary personal data such as names, addresses, and descriptions of services provided.

Our legal basis for processing personal data for bookkeeping purposes is Article 6(1) of the General Data Protection Regulation (GDPR).

We retain this information for a minimum of five years following the end of the current financial year.

Job Applications
We welcome job applications to assess whether they match any hiring needs within our company.

If you send us a job application, our legal basis for processing your personal data is Article 6(1)(f) of the GDPR.

If you have submitted an unsolicited application, HR will immediately assess its relevance and subsequently delete your data if there is no match.

If you have applied for a posted vacancy, we will dispose of your application if you are not hired, doing so immediately after the suitable candidate has been selected.

If you participate in a recruitment process and/or are hired for the position, we will provide you with separate information regarding how we process your personal data in that context.

Vi har lavet risikovurderinger af vores behandling af personoplysninger, og har herefter indført passende tekniske og organisatoriske foranstaltninger for at øge behandlingssikkerheden fx gdpr awareness training.

Data Processors
Few can handle everything on their own, and the same applies to us. We therefore work with partners and use suppliers, some of whom may act as data processors.

External suppliers may, for example, provide systems for organizing our work, as well as services, consultancy, IT hosting, or marketing.

It is our responsibility to ensure that your personal data is processed properly. We therefore set high standards for our partners, and they must guarantee that your personal data is protected.

Consequently, we enter into agreements with companies (data processors) that handle personal data on our behalf in order to enhance the security of your personal data.

One of our key measures is keeping our employees up to date on GDPR through ongoing awareness training and GDPR courses, as well as by reviewing our GDPR procedures with them.

Rights of data subjects
Under the General Data Protection Regulation (GDPR), you have a number of rights regarding our processing of your personal data.

We do not disclose your personal data to third parties.

In certain cases, you have the right to have information about you erased before the time of our standard general erasure occurs.

Right to restriction of processing
In certain cases, you have the right to have the processing of your personal data restricted. If you have the right to have processing restricted, we may subsequently only process the data—apart from storage—with your consent, or for the establishment, exercise, or defense of legal claims, or to protect a person or important public interests.

 

Right to object

In certain cases, you have the right to object to our otherwise lawful processing of your personal data. You may also object to the processing of your data for direct marketing purposes.

Right to data portability

In certain cases, you have the right to receive your personal data in a structured, commonly used, and machine-readable format and to have this personal data transferred from one data controller to another without hindrance.
